Mentora Education Pty Ltd ("Mentora", "we", "our", or "us") is an Australian company that provides an AI-powered educational platform ("Platform") for teachers, tutors, and homeschooling families. We are committed to protecting the privacy of all individuals who use our Platform.
This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information in accordance with the Privacy Act 1988 (Cth) ("Privacy Act") and the Australian Privacy Principles ("APPs") contained in Schedule 1 of that Act.
By accessing or using the Platform, you agree to the collection and use of information in accordance with this Privacy Policy. If you do not agree, please do not use our Platform.
2. About This Policy
This Privacy Policy applies to:
- Visitors to our website at mentoraeducation.com.au;
- Registered users of the Mentora Platform, including teachers, tutors, and homeschooling parents ("Educators"); and
- Student profiles created and managed by Educators within the Platform.
3. What Information We Collect
3.1 Information You Provide Directly
- Account information: name, email address, and password when you register;
- Profile information: school or organisation name, teaching level, and subjects;
- Student profiles: year level, learning objectives, special considerations, and session notes that you enter about your students (no student names or identifying details are required);
- Payment information: billing details processed securely by Stripe (we do not store card numbers);
- Communications: messages you send us via email or support channels.
3.2 Information Collected Automatically
- Usage data: pages visited, features used, session duration, and interaction logs;
- Device and technical data: IP address, browser type, operating system, and device identifiers;
- Cookies and tracking technologies: as described in Section 9 below.
3.3 Information from Third Parties
If you sign in using a third-party service (e.g., Google), we may receive basic profile information such as your name and email address from that provider, subject to their privacy settings.
4. How We Use Your Information
We use your personal information to:
- Provide, operate, and improve the Platform;
- Create and manage your account;
- Generate AI-powered lesson plans, worksheets, and curricula using the information you provide;
- Process payments and manage subscriptions;
- Send you transactional emails (e.g., account confirmation, password reset);
- Send you product updates and educational content (you may opt out at any time);
- Respond to your inquiries and provide customer support;
- Detect, prevent, and address technical issues or security threats;
- Comply with legal obligations; and
- Conduct analytics to understand how the Platform is used and to improve it.
We will only use your personal information for the purpose for which it was collected, or a directly related purpose, unless you consent to another use or as otherwise permitted by law.
5. Children's Privacy and Student Data
Mentora is designed for use by adult Educators (teachers, tutors, and parents). The Platform is not directed at children under the age of 18, and we do not knowingly collect personal information directly from children.
Where Educators enter information about their students, they should only provide the minimum information necessary (e.g., year level, learning goals) and should not enter student names, birth dates, contact details, or other identifying information that is not needed to generate educational content.
Educators are responsible for ensuring they have appropriate authority (including any required parental consent) to input student-related information into the Platform and that doing so is consistent with their school's or organisation's privacy obligations.
6. Disclosure of Your Information
We do not sell, rent, or trade your personal information. We may share it in the following limited circumstances:
6.1 Service Providers
We engage trusted third-party service providers to help us operate the Platform, including:
- Anthropic / OpenAI: AI model providers that process prompts to generate educational content;
- Google Firebase: authentication and database infrastructure;
- Stripe: payment processing;
- Vercel: cloud hosting and deployment; and
- Email service providers for transactional and marketing communications.
These providers are required to handle your information in accordance with our instructions and applicable privacy laws.
6.2 Legal Requirements
We may disclose your information if required to do so by law, court order, or government authority, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
6.3 Business Transfers
If Mentora is involved in a merger, acquisition, or sale of assets, your personal information may be transferred as part of that transaction. We will notify you before your personal information is transferred and becomes subject to a different privacy policy.
7. Overseas Disclosure
Some of our service providers are based outside Australia (including in the United States). When we disclose personal information to overseas recipients, we take reasonable steps to ensure those recipients handle it in a manner consistent with the APPs. By using our Platform, you consent to this overseas disclosure.
8. How We Protect Your Information
We implement appropriate technical and organisational measures to protect your personal information, including:
- Encryption of data in transit (TLS/HTTPS) and at rest;
- Access controls limiting who can access personal data;
- Secure authentication via Firebase;
- Regular security assessments; and
- Incident response procedures.
No method of transmission over the internet is completely secure. While we strive to protect your information, we cannot guarantee its absolute security.
9. Cookies and Tracking
We use cookies and similar tracking technologies to:
- Keep you logged in to your account;
- Remember your preferences;
- Analyse usage patterns to improve the Platform; and
- Display relevant content.
You can control cookies through your browser settings. Disabling certain cookies may affect Platform functionality.
10. Data Retention
We retain your personal information for as long as your account is active or as needed to provide you with the Platform. We may also retain information to comply with legal obligations, resolve disputes, and enforce our agreements.
When you delete your account, we will delete or de-identify your personal information within 30 days, except where retention is required by law.
11. Your Rights
Under the Privacy Act and APPs, you have the right to:
- Access the personal information we hold about you;
- Correct inaccurate or out-of-date personal information;
- Request deletion of your personal information (subject to legal retention requirements);
- Opt out of direct marketing communications; and
- Complain to us about a privacy breach.

13. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a prominent notice on the Platform. Your continued use of the Platform after any changes constitutes your acceptance of the updated policy.
